  • Nom i cognoms.

5 · Destinataris i transferències internacionals

8 · Seguretat

2 · Personal data we process

Merely browsing this website does not require the user to provide personal data. We collect personal data only when the user completes the event form (hosted on Tally), whether to register as an attendee or to receive information about the event without attending.

From everyone who completes the form we process:

  • First and last name.
  • Email address.
  • Employment or academic status and, where applicable, workplace and position, or institution and field of study.

From those who register as attendees we also process:

  • Phone number.

Dietary restrictions may reveal information relating to the user's health or beliefs, considered a special category of data under article 9 of the GDPR. This information is collected exclusively for the purpose of managing the event catering.

  • To process and manage registration for Ciutats Resilients 2026.
  • To manage attendees' dietary needs for the organisation of the event catering.
  • To communicate with the user regarding their registration and the event.
  • To send information about the conference (conclusions, materials, streaming link) to those who request it, whether or not they attend.
  • To inform about future editions of Ciutats Resilients, only those who have expressly authorised it.

No statistical analysis of browsing is carried out and no analytics tools are used on this website.

4 · Legal basis for processing

  • Consent (art. 6.1.a GDPR): granted by the user by ticking the consent box on the form before submitting it.
  • Performance of a contract or pre-contractual measures (art. 6.1.b GDPR): to manage the user's participation in the event.
  • Explicit consent (art. 9.2.a GDPR): for the processing of dietary restrictions, to the extent that they may reveal special category data (health or beliefs), granted through a specific checkbox. The user may provide this information voluntarily and may withdraw consent at any time.
  • Specific consent (art. 6.1.a GDPR): to receive information about future editions, granted through a separate, optional checkbox. Leaving it unticked does not affect registration or the receipt of information about the conference, and consent may be withdrawn at any time.

5 · Recipients and international transfers

As a general rule, we do not transfer personal data to third parties, except where legally required or necessary to provide the service. We rely on the following providers, acting as data processors:

  • Website hosting: Nominalia (Nominalia Internet SL).

The data collected through the Tally form and the website hosting is stored on servers located in the European Union, so no international data transfers outside the European Economic Area take place.

6 · Retention period

Personal data will be kept only for as long as necessary to fulfil the purpose for which it was collected and, where applicable, to address any legal responsibilities that may arise. As a general rule:

  • Registration data: for the duration of the relationship and the applicable limitation periods (up to 5 years for civil obligations, under the Civil Code).
  • Dietary restrictions: deleted once the Ciutats Resilients 2026 event has ended, as they are only needed for catering organisation.
  • Data of those who have only requested information about the conference: until that information has been sent and, at most, six months after the event.
  • Contact data used to inform about future editions: until the user withdraws consent.

7 · Rights of data subjects

In accordance with the GDPR and Spanish Organic Law 3/2018 of 5 December on personal data protection and the guarantee of digital rights (LOPDGDD), the user may exercise the following rights:

  • Access: to know what personal data we process about them.
  • Rectification: to request the correction of inaccurate or incomplete data.

  • Restriction: to request the restriction of processing in the cases provided by law.
  • Portability: to receive their data in a structured and commonly used format.
  • Withdrawal of consent: at any time, where processing is based on it, without affecting the lawfulness of prior processing.

To exercise these rights, the user may write to contacte@ciutatsresilients.cat, stating their name, surname and a copy of their identity document.

Likewise, if the user considers that the processing of their data breaches current regulations, they may file a complaint with the Spanish Data Protection Agency (AEPD): www.aepd.es.

8 · Security

We apply appropriate technical and organisational measures to guarantee the security of personal data and to prevent its loss, alteration, unauthorised access or any other unlawful processing, in accordance with the state of the art and the nature of the data processed.

9 · Changes to this policy
